How to Create a Cost Control Policy

Introduction

Managing your cost control policies is essential for aligning your travel expenses with your corporate objectives. To begin, access Dashboard > Cost Control > Cost Control Policy.

Here, you have the capability to create and configure multiple cost control policies, each of which can be associated with different team members or groups. In essence, this feature enables you to establish filters that categorize rental, flight, and hotel bookings in accordance with your corporate travel policy.

These cost control policies are instrumental in ensuring that your travel expenses remain compliant with your corporate guidelines and financial objectives.

How To Create A Policy

  1. The first step in creating a policy is by selecting between the three tabs labelled “Flight Policy,” “Hotel Policy,” “Car Policy.”
  2. After Selecting which policy type you would like to create  it’s as simple as pressing the “Create Policy.”
Note: We recommend that you create a policy based on our templates but for this example we are going to start from scratch.
  1. Apply The Policy: Now it’s time to figure out if you’d like to apply the policy to everyone or select portal members. if you decide to apply the policy to everyone, turn the switch from off to on. if you’d like to make the policy effect select members it’s as simple as typing in the users name!
  2. Logic Builder: Now it’s time for some logic and things can get a bit tricky!
  3. Basic Filters: You can start by adding basic filters to your database by clicking the "Add Condition" button. Basic filters include criteria like "Fare" "Flight Duration" and "Ticket Class" For example, you can filter when Fares are  "0.5" less than the "Lowest Economy Fare" of the search.
  4. Combine Filters with AND/OR Logic:
  5. To create more advanced filter logic, you can combine multiple filters using AND and OR operators by adding a new condition by clicking “Add Condition.” These logical operators allow you to refine your criteria further.
  6. To use the AND operator, add multiple filters and set them to the criteria you want to include. For example, you can filter results where the "Ticket Class" is "Premium" AND "Destination" is in "Canada."
  7. To use the OR operator, add multiple filters and set them to the criteria you want to have as alternatives. For example, you can filter results where "Ticket Class" is "Economy."
  8. Remember to Save & Apply your policy after you create it to make sure it’s live.
  9. Make sure to test out your search results on the booking engine to make sure your filters have been applied correctly!
